What is in each plan

SmarteBuild comes in three plans. Which one you are on decides which modules appear in your menu, and which appear with a padlock.

  • Estimator — everything involved in pricing a job and getting a tender out.
  • Builder — all of that, plus everything involved in running the job on site, and the mobile app.
  • Enterprise — everything in Builder, plus the features a group of companies needs: one login across several companies, a shared supplier list and price list, people limited to the companies they work in, and onboarding with your existing data moved across for you. Priced on request. See Running several companies.

A free trial gives you the full Builder feature set for 30 days, with no credit card, so you can see the whole workflow before deciding which plan you need.

  • Unlimited users. Add everyone who needs a login: estimators, supervisors, the bookkeeper, apprentices on the phone. Each person gets their own permissions, so a site supervisor can have the schedule and the diary without seeing margins.
  • Unlimited storage. Drawings, photos, supplier documents and specifications, with no gigabyte meter. Fair use applies; a normal builder never reaches it.
  • Unlimited projects.
  • Support by email and live chat, the help centre and the tutorial videos.

Estimator takes you up to winning the work. Builder takes you through delivering it.

If your business prices jobs and hands them over, Estimator is the plan. If you price the job and then build it — raising orders, claiming progress, running the schedule, keeping the diary — you need Builder.

Cash flow is not a separate module — it is a tab inside Schedule & Booking, so it comes with it.

What Builder adds, and why you would want it

Everything in the second column exists because the estimate is only the start.

  • Purchase Orders turn BOQ items into commitments, so you can see committed cost against what you allowed before the invoices arrive.
  • Expenses records those invoices against the orders, closing the loop on actual cost.
  • Variations handle the changes, and flow into both the contract sum and your claims.
  • Progress Claims get you paid, claiming against contract stages or percentage complete.
  • Schedule & Booking plans the work, books the trades and produces call-up sheets.
  • Site Diary, Timesheets and Checklists are the daily record from site, and timesheet labour lands on the job’s Budget once approved.
  • Colour Selection runs the client’s selections schedule.
  • Defects tracks the punch list through to handover, and sends each supplier their list to rectify.
  • Messages keeps the project conversation attached to the project, on the desktop and the phone. It replaced the old Feeds module, and Feeds’ posts were imported into it.
  • The client portal gives each client one private page for their documents, selections, variations, claims, photos and messages — which is what stops the stream of emails and the “can you send me that again?” calls.
  • Cash flow, inside Schedule & Booking, shows money in and out across the life of the job.
  • Earned Value puts the estimate, the schedule and the supplier invoices side by side for one job — whether it is ahead or behind, under or over — and forecasts what it will cost in the end.

A module shown with a padlock is one your company’s plan does not include. The menu item is still there — so you can see what exists — but it will not open.

That is different from a module shown greyed out without a padlock. That one is included in your plan, but your user account has not been given access to it. Your administrator can grant it under Users.

This distinction is worth knowing, because the two look similar and have completely different fixes. If one person on your team can open Purchase Orders and another cannot, it is user access, not the plan — the plan applies to everybody in the company at once.

Plan changes are made against your company account, not per user, so everyone in your business moves at once. An administrator does it in the Admin panel under Subscription → Change plan; the change is immediate and the price difference is prorated by Stripe. See Subscribing and changing plan.
