Contract annexures
Available onEstimatorBuilder
When you win the job you sign a building contract - your Master Builders or HIA contract, or the one your solicitor wrote. SmarteBuild does not write that contract. What it does write is everything that gets attached to it: the schedules that say what you are building, for how much, and when you get paid.
Open it from the Contract annexures button on the estimate, next to Client tender - on the project page and on the Bill of Quantities.
What is in the pack
Section titled “What is in the pack”A front page of contract details, then each schedule on its own page, lettered so the contract can point at it:
| Contract details | You and your licence number, the owners, the site, the job, which contract this is attached to, the contract date and the price including GST - then the list of annexures |
| Annexure A | Trade scopes of works - every trade scope written for this job |
| Annexure B | Works included - the work the price covers, by building stage |
| Annexure C | Specification - the specified items, with their products |
| Annexure D | Contract price - the price with a figure for each stage |
| Annexure E | Prime cost and provisional sum allowances - every allowance, item by item |
| Annexure F | Colour and product selections |
| Annexure G | Drawings and documents the price is based on |
| Annexure H | Progress payments - each stage, what it covers and what it is worth |
| Annexure I | Work not included |
| Annexure J | Signatures |
Any schedule you do not want is switched off on the left, exactly like the client tender. Empty ones leave themselves out: no colour selections on the job, no colour selections annexure.
Why it is lettered, not numbered
Section titled “Why it is lettered, not numbered”A building contract refers to “the works described at Annexure B” - never to “section 2”. So each schedule carries a letter, and the numbered lines under it read B.1, B.2, which is what a contract clause cites. The contract details page has no letter, because it is the front of the pack rather than one of the annexures.
The trade scopes of works
Section titled “The trade scopes of works”Annexure A lists every scope of works written for this job: the trade, the scope’s name, its document number and version, and the date it was issued. A scope still being worked on shows as a draft, so nothing is attached by accident.
An issued scope is already a PDF in the job’s documents, so listing it is usually enough - the contract then records exactly which document each trade was given. If you would rather have the words inside the pack as well, tick Print this one in full under Scopes of works on the left and its clauses print under the register.
It is not the tender
Section titled “It is not the tender”The two documents come from the same estimate and look similar, but they do different jobs.
| Client tender | Contract annexures | |
|---|---|---|
| When | Before you win | At signing |
| Price shown | The tender price | The contract price you typed on the estimate |
| Opens with | A cover picture and a covering letter | The contract details |
| Called | Section 1, 2, 3 | Annexure A, B, C |
| Also has | Pictures, upgrades, terms, an expiry | The trade scopes and a signature block |
They are two separate documents on the same estimate. Building the pack never changes your tender, and the tender never overwrites the pack. Both read their numbers live from the estimate, so if you reprice the job, both follow.
Printing it
Section titled “Printing it”Print on the toolbar, then Save as PDF - the same as the client tender. Each annexure starts a new page, so the pack can be signed or initialled schedule by schedule.
