Creating a project

From Projects List, choose New → Project.

Most of these fields are optional, but several feed things much further down the line — reports, claims, call-up sheets — so it is worth knowing which ones matter before you skip them.

The fields

Field	What it is for
Name	How the job appears everywhere. Use something you would say out loud.
Code	Your job number. Appears on orders and reports.
Find the site address	Start typing the address and pick it from Google’s list — the four fields below fill themselves in.
Street address	Number and street, with the unit or lot if there is one: 3/15 Smith Street, Lot 320, 15 Lanning Way.
Suburb / State / Postcode	Where the site is. Prints on purchase orders, and the postcode is where the weather on the Schedule, Bookings and Site Diary comes from.
Client Full Name	The client on the contract. See Clients.
Email / Phone	The client’s contact details.
Job Status	Where the job is up to — drives the status filter on the list.
Supervisor	Who is running it. Filterable, and used on site paperwork.
House Size	Floor area, for rate-per-square-metre reporting.
Contract Price	The agreed contract sum. Progress claims measure against it.
GST (%)	The GST rate applied to this job.

The ones worth getting right

Code. This is your job number and it ends up on every purchase order you send. Changing it later does not retrospectively change documents already issued, so agree the numbering convention with whoever does your accounts before the first job goes in.

Address. It prints on purchase orders. A blank address means a subcontractor gets an order with no site on it, and you get a phone call.

Fill in the postcode too. It is what places the job for the forecast on the Schedule and Bookings, and for the weather recorded in the Site Diary — without it, there is nowhere to look. If you don’t see the Find the site address box, type the four fields in yourself; they work the same either way.

Contract Price and GST. Progress claims and the costing metrics both measure against the contract price. Leaving it at zero does not stop you estimating, but the claimed-against-revenue figures will be meaningless until you fill it in.

House Size. Only used for $/m² reporting. Skip it and those reports come out blank; it is not used in any calculation that affects a price.

Name it the way you will search for it

The list is long after a year. 18 Beach Road — Rear Extension is findable; Hendricks job is not, and neither is Project 4. Include the street number if you build in estates where twenty jobs share a street name.

Contract Price stays at zero deliberately. You do not have one yet — you are about to work it out. Come back and fill it in when the job is won.
