Signing the contract online

Available onEstimatorBuilder

Instead of printing a contract and chasing signatures, send it. Each person signs on their own link, you see when they have opened and signed it, and the signed copy files itself in the job’s Documents.

SmarteBuild does not write your building contract. You send what you already use: your Master Builders or HIA contract, or one from your solicitor, as a PDF. Or you can send the client tender page itself.

The Contract signing panel is on the estimate, on the project page. It needs permission to edit projects.

  • Send the tender for signing opens the client tender. Check it, and send that page. The client signs exactly this page, so check the Terms and Acceptance wording says what you want them to agree to.
  • Send a contract PDF uploads your own contract, up to 30 MB. It is filed in the job’s Documents, under Contract.

Then fill in:

  • Who signs. The job’s clients are listed, and Add someone adds anyone else. Everyone signing needs a name.
  • Price (inc GST). Leave Set the contract price to this when everyone has signed ticked and the estimate’s contract price follows when the last person signs.
  • Message. A few words for the email and the signing page.
  • Email the link to them. With an email address, each person is emailed their own link. Without one, copy their link after sending and send it yourself, by text message, say.

They open their link on a phone or computer, read the document, type their full name, draw their signature with a finger, a pen or the mouse, and tick that they have read it and agree. The page tells them that signing there is the same as signing on paper, and that their name, signature, the date and time, their internet address and their device are recorded.

If they have a client portal, it also appears there under a Contract tab.

A document is checked at every signature, so one that has changed since it was sent is refused.

The panel shows when each person opens and signs. You get a bell and an email when everyone has signed, and the client gets an email with the signed copy on their page.
