Defects on site
Defects are found on site and fixed on site. Logging them there — rather than writing notes and typing them up later — is the single biggest improvement the app makes to the process.
Logging one
Section titled “Logging one”Defects → New defect. You are asked for:
- Location — which room or area
- Observation — what is wrong
- A photo
- The supplier responsible, if you know
Write it for the person fixing it
Section titled “Write it for the person fixing it”They were not at the inspection. Give them what, where exactly, and how much:
| Weak | Better |
|---|---|
Paint |
Paint runs to architrave, door 3 side, approx 300mm |
Scratch |
Scratch to benchtop, 150mm, left of sink |
Tile |
Chipped tile, 2nd row from floor, wall behind toilet |
Use the dictation button rather than thumb-typing that on a phone — see Dictation.
Photograph everything
Section titled “Photograph everything”A photo removes the argument about whether something is a defect, and removes the second site visit where the trade could not find it. Taking it at the moment you log the defect costs nothing; going back for it costs a trip.
Notifying the supplier
Section titled “Notifying the supplier”Notify supplier sends the defect to whoever is responsible, from the phone.
That closes the gap between finding a defect and telling someone about it, which is otherwise a job that waits until you are back at a desk — and often until Monday.
The notice carries the description, the location and the photo, so the trade has what they need to price and plan the fix without ringing you.
Notices
Section titled “Notices”Defect notices lists what you have sent and where each stands.
A supplier can respond to a notice — marking work fixed, or disputing it — and that response comes back here. So the list answers, without any chasing: what have I sent, what has been actioned, and what has somebody pushed back on.
Open a notice to see its full history.
Chasing
Section titled “Chasing”Work the list oldest first. A notice sent three weeks ago with no response is one phone call, and it is much better made now than at handover.
What still happens at a desk
Section titled “What still happens at a desk”- Building the defect locations structure for a job
- Importing an inspector’s spreadsheet
- Marking defects fixed in bulk after a trade has been through
- Print options and the handover reports
See Logging defects and Reports and handover.
A practical inspection routine
Section titled “A practical inspection routine”- Walk the job with the app open.
- Log each defect where you are standing — location, dictated description, photo.
- Set the supplier as you go, while you remember who did it.
- Back in the vehicle, send the notices.
- At the desk, produce the per-trade lists for anything not covered by a notice.
Steps three and four are the ones that save a day later. A defect logged without a supplier has to be assigned by somebody who was not there.
