Timesheets on the phone

The mobile app is where hours should be recorded: on the day, on the job, by the person who worked them. Everything it writes is the same timesheet the office sees on the desktop.

Open the project, tap Timesheets, tap Clock in. Pick the task or cost code if you want the hours against one, add a note if you like, and go. The app records the start time and, when location is allowed, where you were.

At the end of the day tap Clock out, enter the break you took, and the hours are worked out for you. The entry shows in your week straight away.

One clock at a time: if you are already clocked in on another job the app tells you which one and asks you to clock out of it first. A clock left running overnight is closed at midnight with a note asking you to check it - fix the finish time on the desktop, or delete the entry (hold it in the week list) and type the day. If a clock has been running for more than twelve hours the Timesheets screen turns red to remind you.

Not everyone wants a running clock. Add hours takes a job (the one you have open is already picked), a day of the current week, and either the hours or a start and finish with a break - if you give the times, the hours come from them. A task or cost code is optional. Tap an entry later to change it; hold it to delete it.

The week view shows Monday to Sunday with the hours per day and each entry underneath, with its status. Use the arrows to look back at earlier weeks. When the week is done, Submit week sends it to the office; Recall submitted hours takes it back if you were too quick. Anything the office sends back shows in red with the reason; tap it, fix it, and submit again.

You cannot approve, see rates, or see anyone else’s hours from the phone. That is the office’s job, on the desktop: Approving hours and labour cost.

The Timesheets tile on the project’s Home screen shows today’s hours on that job and whether you are clocked in, so a forgotten clock is hard to miss.
