VideoRFIs to colleagues and My RFIs2:47

My RFIs is your own list of questions, across every job. On one side, the RFIs your colleagues are waiting for you to answer. On the other, the ones you asked them. It sits straight under Dashboard in the side menu, and everyone who signs in has it.

The number beside My RFIs in the menu is how many RFIs are waiting for your answer. When it is not there, nothing is waiting.

Questions come up in the middle of the work: a tile with no code in the schedule, an order that does not match the drawing, a variation nobody has priced. Ask an RFI is on the BOQ, the schedule, purchase orders, tenders, variations, defects and colour selection, so you ask from the thing the question is about. See where to find it.

  1. The window shows what the question is about, and lists anything Already asked about this - open one of those first, so the same question is not asked twice.
  2. Under To, tick who should answer. Only people who can open the job are listed. With more than six, a Find a colleague box helps.
  3. Write the Subject and the Question - say what you have already checked, so they do not check it again.
  4. Answer by is three days away unless you change it.
  5. Press Ask. Each person you ticked gets a bell, and the RFI is numbered for the job (RFI-001, RFI-002…). It is also in the job’s RFI register in Documents.

Each tab shows how many it holds. The page opens on Waiting for you, or on You asked when nothing is waiting.

Each row shows the RFI’s number, where it stands (Open or Answered), the date it is needed by, the subject, who asked it or who it went to, what it is about, and the job. Late marks one past its answer-by date.

Search subject, job or person narrows the list as you type. Closed too (90 days) adds the RFIs closed or withdrawn in the last 90 days, for when you need to look back at what was decided.

Pick a row and the RFI opens beside the list (on a phone, All RFIs goes back to the list). It shows:

  • the number, the job and the estimate, the subject, and who asked it and when;
  • About - what the question was asked from, with a link to open it: the order, the BOQ item, the task, the variation and so on;
  • The question, where on site it applies, and any drawings attached to it;
  • Asked - everyone the question went to, with a tick beside each person who has answered;
  • the conversation so far, with each answer marked.

If the question was put to you, write Your answer and press Send answer. Say where the information came from - a drawing, the supplier, a site visit - so the answer can be checked.

The person who asked gets RFI answered in their bell, and your bell’s to-do for it goes away. The RFI moves from Waiting for you.

If you asked it:

  • Add a message, then Send - ask more, or say what you still need. Everyone you asked gets their bell again.
  • Close it - when you have what you need. Add a note on what was decided; it stays on the RFI, so the reason is there later.
  • Withdraw - when the question no longer matters. Add a note on why.

A closed or withdrawn RFI drops off the list. Tick Closed too (90 days) to see it again.

Two bells come from RFIs, and both open My RFIs:

  • RFI waiting for your answer is a to-do. It stays until you answer, or the RFI is closed, and it comes back if the person who asked adds a message.
  • RFI answered tells the person who asked that an answer has come in - from a colleague, or from a consultant answering through their emailed link.

The My RFIs card shows the same list in short: what is waiting for your answer, late ones in pink, then the ones you asked. Open My RFIs at its top right opens this page. Like every card, it can be moved, resized or hidden - see the Dashboard.
